Administrative and Finance Technician
Reports to: Deputy Director
Status: Full Time, Non-Exempt
Salary Range: $26.57-$29.89 DOE
Purpose of the Position:
The Administrative and Finance Technician is responsible for managing the daily operations of the WISH Admin Department, serving as the first point of contact for calls and visitors to the WISH Community Services Building. This role provides essential support to administrative staff. Key duties include accounts payable support, payroll processing and donation processing.
Essential Functions:
- Provide administrative support to the Executive Director and Deputy Director in managing daily operations of the agency
- Maintain all personnel files
- Maintain organized filing systems for both physical and digital documents
- Maintain payroll ledger, monitor and process payrolls for all employees
- Accurate preparation and timely payment of bills
- Compile new employee packets; provide organizational support onboarding new employees
- Track in-kind & cash donations, prepare accurate receipts, manage donor acknowledgements, utilize Boomerang donation software
- Accounts Payable Support:
-Requisition management
-Receipt management
-Bill pay management
- Process mail delivery for both WISH facilities
- Collaborate with the Facilities Coordinator on tasks for both buildings
- Utilize proficient computer literacy to perform all features of the position
- Other duties as assigned supporting the agency organization
Knowledge, Abilities and Skills:
The ideal candidate will possess extensive experience and applied knowledge of technology as it relates to administrative and financial operations. This includes a high degree of proficiency with the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint), as well as financial and billing platforms such as Bill.com and QuickBooks.
The Finance and Administrative Technician should be comfortable navigating and troubleshooting a wide range of applications, implementing technology-based workflows, and leveraging digital systems to enhance efficiency, accuracy, and organization.
Preferred Experience and Education:
- Bachelor’s degree in accounting, business or similar field with at least 2 years of experience or an Associate’s degree with at least 3 years of experience in an administrative role
- Proven ability to manage multiple projects and tasks simultaneously
- Ability to organize and set priorities
- Ability to work independently and in a team environment, in an in-person setting
- Strong attention to detail and accuracy in data entry
- Proficiency in Microsoft Office
- Experience with accounting software preferred
- Excellent writing skills
- Excellent interpersonal and communication skills
- Must be sensitive to cultural diversity.
Required for Employment:
- Successfully complete a fingerprint, background, and criminal history check
- Current First Aid/CPR certification or obtain within 30 days of employment
- Current TB clearance
- Must have and maintain a current Alaska driver’s license and a clean driving record
- Complete a 40-hour online Domestic Violence training course provided through CDVSA
- Adhere to all WISH policies, procedures and protocols including confidentiality and code of ethics
Relationships with Other People:
- Interacts with WISH staff, volunteers and community agencies with dignity and tact
- Will not engage in intimate relationships with a person seeking or receiving services from WISH
- Models’ nonviolent behavior and freedom from substance abuse
Confidentiality:
Must adhere to all confidentiality requirements including, but not limited to WISH’s internal policies, requirements of local, state, and federal law necessary to protect the safety, dignity and privacy of persons seeking or receiving services.
Working Conditions:
- Fast paced office environment with moderate to loud noise and frequent, unscheduled interruptions
- Periodic exposure to situations where individuals may be a danger to themselves or others
- Occasional exposure to hazardous conditions (cigarette smoke, bodily fluids, spills, chemicals and cleaning agents, broken glass, etc.)
